Migrate from Spreadsheets to OKR Studio
A step-by-step guide to moving your OKR process from Excel or Google Sheets into a dedicated platform
Why Migrate from Spreadsheets?
Spreadsheets are where most teams start with OKRs — and that's perfectly fine. But as your team grows past 10–15 people, spreadsheets become a bottleneck: they go stale, alignment becomes invisible, and quarterly reviews turn into manual data-gathering exercises. This guide walks you through a smooth transition to OKR Studio without losing momentum.
Step-by-Step Migration Guide
Before migrating, take stock of what you have. Open your existing OKR spreadsheet and answer these questions:
Pro tip: Only migrate current and future OKRs. Historical OKRs can stay in the spreadsheet as a reference archive — there's no need to migrate past quarters.
Create your account and configure the foundational elements:
Create Your Organization
- • Sign up at okrstudio.app
- • Enter your organization name
- • Upload your logo (optional)
Set Up Teams
- • Create teams that match your spreadsheet tabs
- • Assign team leaders
- • Invite team members via email
OKR cycles in OKR Studio replace the quarterly tabs in your spreadsheet. Each cycle has a defined start and end date and holds all OKRs for that period.
Now for the main event. Open your spreadsheet side-by-side with OKR Studio and transfer your OKRs:
| Spreadsheet Column | OKR Studio Field | |
|---|---|---|
| Objective title | → | Objective name |
| Key Result description | → | Key Result title |
| Target value | → | Target value |
| Current value | → | Current value (update via check-in) |
| Owner / Assignee | → | Key Result owner |
| Team / Department | → | Team |
| Status (On track / At risk) | → | Status (update via check-in) |
| Notes / Comments | → | Check-in notes |
Pro tip: Use this migration as an opportunity to improve your OKRs. If a Key Result in your spreadsheet isn't measurable (e.g., "Improve customer experience"), rewrite it with a specific metric before adding it to OKR Studio.
One of the biggest advantages over spreadsheets is visual alignment. Connect your OKRs to create a clear hierarchy:
In OKR Studio, you can align team objectives to company objectives using the alignment tree view — something that was impossible to visualize clearly in a spreadsheet.
Replace the manual "update the spreadsheet" ritual with structured check-ins:
Navigate to Check-in
Go to OKRs → Check-in in the sidebar to see all your Key Results
Update progress
Enter the current value for each Key Result — no more hunting through cells
Set confidence level
Rate each KR as "On Track", "At Risk", or "Off Track" to flag issues early
Add notes
Document blockers, wins, or context that helps the team understand the numbers
Once your team has completed at least one full check-in cycle in OKR Studio, it's time to retire the spreadsheet:
Visual Alignment
See how every team's objectives connect to company goals in an interactive alignment tree
Automated Progress
Progress rolls up automatically from Key Results to Objectives — no manual calculations
Team Accountability
Structured check-ins with history, notes, and confidence tracking keep everyone honest
